VOLUNTEERS NEEDED

In order for this project to be a success, volunteers (both SGS members and non-members) are required to help with the collection of data and with data entry. Every community contains records about its residents, past and present, which have been created over the past century. By listing these records we give researchers, now and in the future, new resources to draw upon.

A. How do I register?

Anyone wishing to volunteer to either enumerate sources in their community or to do data entry must first register with SHRD Project at the SGS office. This is most important, as we do not want any duplication of work. Should a second party offer to record the same community, it will be suggested that they contact you and offer to share the work.

You will be asked to supply the following information by completing the attached Volunteer Information form.

· Name, address, phone number, e-mail address (if you have one);

· Indication of whether you wish to collect data or enter data, or both.

· Name of the community you wish to enumerate and which locations (sites) you will be doing.


B. What will I receive if I volunteer to collect data?

· A Master Community form with instructions on how to complete it.

· A set of Field Questionnaire forms with instructions on how to complete them.

· A volunteer code to be entered into the SHRD computer database by the individual entering the data into the database.

· A Volunteer’s Manual


C. What will I receive if I volunteer to do data entry?

· A CD computer disk with instructions on how to enter the information.

· Your computer should preferably have at least:

· Pentium 133

· 16 MB Ram

· Windows 95

· 20-25 MB free hard disk space

· CD-ROM drive


D. How do I send in the information that has been collected?

Information may be sent by either of the following ways. Detailed instructions are provided in the Data Entry Manual or on the help screen provided with the SHRD Database.

· If your recordings are on paper, they will be sent to SHRD Record Keeper at SGS.

· If your recordings are on computer and you have access to the Internet, they can be sent by e-mail to the SHRD Database Keeper.

· If you records are on computer and you do not have access to the Internet, they can be copied onto a 3.5" diskette and mailed to the SHRD Database Keeper.


IMPORTANT NOTE:

All copies of the Master Location Sheets and Field Questionnaires are to be mailed to SGS, even if you are sending in the recordings by e-mail or by 3.5" diskette.
